Agents and Organizations

Agents and Organizations are treated equally when calculating commissions. There is an option to designate the entity as either Agent or an Organization in the Agent detail page.

Depending on what is selected, either the Agent Name or the Company Name will be displayed in other pages in the system and in Statements. Selecting the menu item for Agents & Orgs will bring up the Agents/Organizations list page. Expanding a line for an Agent will then provide options to go to the detail pages associated with Agent details.

Selecting on the Advanced Search button opens search fields that can be used to search the list of Agents. Selecting the Advanced Search button again then closes it. After entering values, selecting Update Results will bring back Agents matching the search criteria.

The following fields are in the Advanced Search for Agents & Orgs:

  • Agent ID – With the ID assigned.
  • Issuer – That have an Appointment record for the respective Issuer(s).
  • Writing Agent ID – With an Appointment record with the Writing Agent ID.
  • Start Date Range: (From – To) – With Starting date that is within the range.
  • Termination Date Range (From – To) – That have a Termination Date entered that is within the range.
  • Upline ID – With the Upline ID in their Agent Detail page.
  • Contract - With the Contract in their Agent Detail page.
  • State – Who have the State for their address.
  • Status – With the selected Status.
  • Tax type – With the selected Tax Type.
  • Payment Method – With EFT or Check for Payment Method.
  • Commission On Hold – With that On Hold option checked.
  • Custom Settings – That have at least one Custom Setting.
  • As Earned – With As Earned checked in their Agent Detail page.
  • Vested – Who have Vested checked.

Agent Detail Page:

The Agent Detail page can be accessed by expanding a line for an Agent from the list page and selecting ‘Edit Agent/Organization.’

When the selection for ‘Agent’ is selected, the name fields are displayed first and required, and the Business Name is displayed second and is optional.

When Organization is selected, the Business Name is located at the top and is required, and the Name fields are displayed second and are optional. The name fields can then be used to reference the Principal Agent.

This separation of Organization and Agent can be helpful when an individual manages two NPN’s and needs an entity for their own personal commissions versus that paid to their Agency.

Agent ID is a required field for the Agent identifier desired by Tenant. NPN number can be used but there is also a field specifically for NPN that is not a required field.

Username will be displayed after an Agent logs in for the first time and enters a value.

Upline is used to store the Agent or Agency that the Agent is to report to and who will also have commissions calculated for. Exceptions by Issuer and/or Product type can be created using a Custom Setting and selecting an Alternative Upline. When an Agent or Organization is meant to be the top of the hierarchy, their own ID or name is to be selected, and after saving it will display ‘Self’ as the Upline.

The Tax ID field is masked to only display the last four digits but allows any admin with access to Agent details to be changed. There is an icon for an eye, that if an Agent has a role that includes the Permission for ‘View Full Tax ID,’ can be selected so an Admin can view the full number. When viewed in this way, the system would log the action and user for audit purposes.

The As Earned checkbox in Agent details will prevent Advances to be calculated for their commissions. Exceptions can be created with the Agent settings, so for example if an Agent wants to be As Earned for all Carriers and Product Types except for one.

Commission on Hold is an option that will create an adjustment so that commissions are not paid out to the Agent.

Vested is an option that works in conjunction with the Terminated and Not Vested feature. If Vested is checked, the Agent will continue to receive commissions after the status for the Agent is changed to Terminated. If unchecked, and the Agent is terminated, an adjustment will be created so that commissions are not paid to the Agent after the termination date. See more details in the section for the Terminated and Not Vested feature.

Do not Calculate Admin Fee is an option to prevent the Revenue based Admin Fee from being assessed on an Agent. It does not affect the Advance based Admin Fee. See the section on Admin Fee for more details.

Resend Registration

Until the Agent has created a Username, an option to ‘Resend Registration & Save’ will be displayed at the lower right of the Agent Detail page. When the first commission cycle is run for an Agent, they will receive an email so they can log in and create their Username and set their password. If they did not receive the email, for example if the email entered for the Agent was incorrect, the option to ‘Resend Registration’ will allow for any changes to be made, like to enter a corrected email, and then send a new email for the Agent so they can Log in.

When the option to resend is selected, it also saves any changes that are made to the Agent and closes the page. After the Agent creates their Username, the option for Resend Registration will no longer appear on the Agents detail page.

Address

An address is required for Agents/Organizations.

Payment Options

The page for Payment Options from the Agent detail page allows for banking information to be entered for ACH payments. When EFT is selected for the Payment Method, Account Type, Bank Routing Number, and Bank Account Number is required.

When ACH payments are not used within Comissio, the Payment Method should be left as ‘Check.’ There is not a check register within Comissio so the payment process would need to be performed outside of the system.

Bypass 1099 is an option that can be checked so that 1099 calculations are not displayed on the respective Agent’s statement and 1099 forms are not generated for them.
